What documents do I need to provide at the start of our cooperation?

At the beginning of our cooperation, we require the following from you: founding documents, i.e., the CEIDG application, the Articles of Association, or the Company Statutes. Additionally, I need you to complete our questionnaires regarding personal data processing principles, Anti-Money Laundering (AML) policy, and the policy against harmful tax practices. Once all documents have been provided, we will prepare the contract for you.

In what form and by when do I need to submit my invoices?

Our clients usually provide us with their documents by the 10th of the month. Documents can be submitted in two ways (depending on your preference): electronically (via our platform) or in paper form (via courier).

Does the accounting office bear responsibility for potential errors?

As a general rule, accounting offices in Poland are held civilly liable for damages caused in their clients' accounting records. As an accounting firm, we assume full responsibility for the correct calculation of tax and social security liabilities. We hold professional liability insurance (OC) to protect our clients; however, we have never encountered a situation that required us to use it.

Do you assist with setting up a company?

Yes. We will help you complete all the necessary documentation for the Polish National Court Register (KRS) or CEIDG, as well as for the British HMRC (this offer is dedicated to clients interested in establishing a company in the United Kingdom).

Do you offer HR and payroll services?

Yes. We will prepare all documents related to hiring a new employee or contractor for you. For more demanding clients, we also offer comprehensive HR administration (maintaining employee records, work logs, etc.). If needed, we can also assist you with the formalities required for employing foreign nationals.

How does the cooperation with you look like in the event of an audit by the Tax Office, the National Labour Inspectorate, or the Customs and Tax Office?

You don’t have to worry about a thing. We will prepare all the required audit files (JPK_KR, JPK_FA, JPK_EWP, JPK_PKPIR, JPK_V7) and necessary documentation for you. We have extensive experience in providing accounting support during audits from various institutions. Whether the audit concerns VAT, CIT, PIT, excise duty, or HR and payroll matters – we are here to help you.

What does the process of transferring documentation from another accounting office to you look like?

The process is straightforward. After signing the contract, you authorize us to contact your previous office to retrieve the database and historical documents. We also handle the necessary updates in CEIDG/KRS and the tax office.

Do you handle companies 100% remotely, or are personal visits necessary?

We operate fully remotely. All documents, contracts, and daily communication are handled electronically (email, phone, dedicated client portal). Personal visits are not required.

Will my company be assigned a single dedicated accountant?

Yes, every company is assigned a dedicated accountant who knows the specifics of your industry and is directly responsible for your accounts and communication.

Do you provide a free invoicing software for your clients?

Yes, as part of the subscription, our clients receive free access to a modern online invoicing tool that is fully integrated with our accounting system.

How do you inform clients about the amounts of taxes and ZUS (social security) to be paid?

Information regarding tax amounts (VAT, PIT/CIT) and ZUS contributions is sent via email, SMS, or through the client portal, complete with transfer details and deadlines.

Do you provide services and correspondence in foreign languages?

Yes, our team supports clients and prepares basic financial reports in English and German as well.
