KSeF from April 2026 – what changes for small and medium-sized businesses?

1 April 2026 will not be an April Fools’ joke. It is a real “day zero” for most Polish companies. From that moment, the invoice world you know – full of PDFs, e-mail attachments and paper binders – officially passes into history. Mandatory KSeF timeline 2026

The legislator split rollout into two stages to avoid system paralysis. Crucially, most of you fall into the first group:

    1 February 2026: Obligation for so-called “large entrepreneurs” (turnover over PLN 200 million in 2025). 1 April 2026: Obligation for all other businesses. Whether you run a mid-sized company or a small production business – from that day your invoices must go to the government system.

Differences between February and April: who is affected?

The split is not only about turnover. For smaller firms (April group) it means their largest suppliers (e.g. telecoms, energy, wholesalers) will issue e-invoices as early as February.

What does this mean in practice? Even if you only start issuing e-invoices in April, from February you must be able to receive and process them from large contractors. That is a critical moment to adapt internal document flow.

What must you do by the end of March?

There is less time than you think. To avoid waking up on 1 April with blocked sales, go through these three steps:

    Software audit: Check whether your invoicing software has active KSeF API integration. If you still use simple templates, it is the last moment to move to a cloud system. Permission management: Decide who in your team may send invoices to KSeF. Each person needs appropriate permissions (e.g. Trusted Profile or electronic seal). NIP database check: KSeF does not forgive typos. A wrong customer NIP means rejection and delayed payment.
